Congregational Reservation Information:

Day Camp Reservations opens December 1st, 2023. Please read the following information prior to submitting your reservation which can be done at the link below.

Basic Congregational Responsibilities:

  • Provide a local coordinator who will serve as the point of contact and overall Day Camp coordination.
  • For camper supervision, your congregation will need to provide two volunteers per 12 campers with at least one being 16 years of age or older, both of which must be at least 14 years of age.
  • Depending on the size of your group, you will need one to two volunteers to lead the craft, games, nature and puppets activity rotations. These activity rotations will be best led by a person 16 years of age or older or an adult leading with a younger volunteer assisting. Volunteers will receive training and help as needed.
  • Provide staff housing and dinners.

In January:
Camper registration opens and will take place through our online system. Volunteers will also register online as well. Local coordinators will receive an email from our Registrar with a link to a Google sheet that will contain registration information for campers and volunteers.

Camper registration deadline will be at noon the Wednesday prior to the start of your Day Camp. There must be a minimum of 12 campers registered by that time. Walk-up registrations the week of Day Camp will not be possible.

In Early March:
The Day Camp Planning Guide is available for download. Cross Trails Ministry will contact you in March to talk through your week and begin planning to meet your congregation’s needs.

Number Changes:
You may change your camper numbers any time before May 1st. After that you will be asked to pay for the full number of campers originally reserved. Because we bring specific amounts of materials for the number of campers you have reserved, you will be charged $150 per camper for any campers registered over your reservation number.

Payment and Refunds:
Final payment is due May 15th unless a payment plan is worked out with our Registrar. The deposit is non-refundable.
